EXHIBITORS - What You Need To Know Before Exhibiting at WAVE 2025

You can find all you need to know to prepare for WAVE 2025 as an Exhibitor.  Please read on and send us your information now.

As WAVE 2025 is a hybrid conference, all exhibitors will have a presence on this WAVE website virtually, including those that are exhibiting in person at the conference venue.
We can assist you in all aspects of preparing your WAVE webpage, you just need to send us the details as listed below BEFORE 20th March 2025.

DELIVERY INFORMATION

Deliveries can arrive from Wednesday 19th March & must be collected Monday 24th March from the loading dock.    Please ensure labelled WAVE 2025 & your Company Name - You DO NOT need your booth number.

ACCOMMODATION
OWA currently have pre-booked discounted accommodation at $239 inc GST per night including breakfast for 1.  This is for the weekend of WAVE 2025 – discounted dates start from 19th March to the 24th March and are subject to availability.

Please Note:   You will need to complete the below expression of interest form to check on availability as the offer is open to Exhibitors and Delegates. 

BOOTH REQUIREMENTS & ADVANS
  • All Booths have 1 table (2 for Gold) 2 or 4 chairs, and power
  • Tablecloths are available on request to OWA at no charge
  • Table dimensions are: 1.8m x 0.6m
  • If you require any more items, please book with Advans including additional power

BUMP IN & BUMP OUT
  • IN: Friday 21st March from 1.30pm
    Any deliveries will be placed in front of your relevant stand ready for you to bump in. 
  • OUT:  Sunday 23rd March from 2.30pm
  • COLLECTIONS: Please arrange any couriers for Monday 24th March
  • STORAGE:  There is an Exhibitor Storage Room onsite for use from bump in to bump out only.

EXHIBITOR REFRESHMENTS & LUNCH
Morning Tea & Lunch for EXHIBITORS will be served approx.  20minutes before the Delegates enter the Exhibition Hall for their Morning Tea & Lunch

Please advise dietary requirements well in advance of the event.

SUNDOWNER - Sat 22nd March 4.45 - 6.45pm @the Resort Pool
All exhibitor representatives are invited, please ensure you confirm for tickets when asked by the OWA office in early March 2025.

As an Onsite Exhibitor you also have an online Exhibitor webpage created for  you and we are here to help you add in your company details, contact details, sales representatives details and any questions you want to ask those visiting your page.

Submit any of the items listed below to the OWA Office HERE * this form is the same as the above sales rep info form.

Read on below for information on the Competitions available to Delegates. 
RESOURCES

Please send OWA any resources that you wish to be uploaded and available to download by WAVE Delegates.   Delegates have to be logged into WAVE website to view the resources.

  • File Options: Supported File Types.jpg, .png, .gif, .pdf, mp3, .aac, .flac, .mp4, .avi, .mov, .qt, .wav, .doc, .docx, .xls, .xlsx, .ppt, .pptx, .ppts

  • Please list if any order you wish to be displayed other than A-Z.

DELEGATE INTERACTION

COMPETITIONS

We have on offer the Passport Competition & the Codeword Competition for our In Person and Virtual Delegates.

The OWA Office will contact all exhibitors to invite to participate & explain the competition options in detail.   

Competitions do increase the interactions between delegates and exhibitors and our winners are always very grateful to receive their prizes.

Participating Exhibitors receive the names and email addresses of all those that entered the competitions plus information on who downloaded resources.

CONNECTIONS
Virtual Delegates can connect with Exhibitors via messages which are sent to your nominated email address. 
You do need to have your Sales Representatives details completed to make use of this option.
